Adding a contact is a simple process for both individuals and businesses. To get started, click the Global Add Button on the global navigation bar. Indicate whether this new contact is an Individual or a Business. - Some contact fields will differ after selecting Business. ## 3\. Enter your client's Name. - Required fields are indicated by an asterisk (*). ## 4\. Select the applicable contact Type. ## 5\. If needed, enter a Client Since date. ## 6\. If needed, enter your client's contact information, including: - Email address - Phone number - Address ## 7\. If needed, click \+ Add [phone number, email, or address] to add additional contact information. ## 8\. If needed, add your client's personal information , such as: - Birth date - SSN - Occupation - Employer - Contact Owner - Source - Contact ID - Options will vary for Business contacts ## 9\. Inviting a client to Canopy enables your client to share files, complete the client survey, pay invoices, and more. Bulk client invites can be sent using the Client Portal manager. Individual invites can be sent in a variety of circumstances but utilize the same Client Portal pop up window. # Using the Client Portal Manager The Client Portal Manager allows admins to see who’s been invited to the Client Portal, when the user last logged in, and what contact records the user has access to. You can also send and resend invites to the client portal in bulk. This will save plenty of time by not having to access each individual contact record to view these details and resend invitations to the Client Portal. To get started, click on Contacts on the global navigation bar. License/permissions: - ⬜ License: Any - ⬜ Permissions: Admin ## 1\. Click Manage Client Portals. # Inviting Clients to the Client Portal in Bulk Invite multiple clients at one time using the client portal manager. If needed, you can invite an individual client through the same process. Our best practice recommendation is utilize the Client Portal Manger as much as possible. To get started, choose Manage Client Portals from the Contacts slide-in menu. ## 1\. Click Without client portals to view a list of your contacts that have no recorded access to the Client Portal. ## 2\. Click the checkbox in-line with each contact you wish to invite to the Client Portal. - If there is no email address listed for the contact, the checkbox will not be available to click. #### Adding a Client's Email Address --- Add an email for any client you wish to invite to the Client Portal. - Hover over the email field in-line with the contact's name. - Click Add email. - Enter the contact's email address in the Add email field. - Click Add. - The email address you entered will display on the Contacts with 0 Users list. ## 3\. Click Send Invite. ## 4\. If needed, toggle the Include a personalized message switch to add a message to the Client Portal invite email. - Click the Templates icon to use an email template for your message. - You can only select a template if the Include a personalized message switch is toggled. ## 5\. Type a message to your clients in the start typing your message field. - This message will apply to all invite emails sent to the clients you previously selected. ## 6\. Click Send. # Reviewing Client Portal Access Review what clients have access to the Client Portal, when the clients last logged in, and other details in the Client Portal Manager. To get started, choose Manage Client Portals from the Contacts slide-in menu. ## 1\. If needed, click With portal users. ## 2\. Filter contacts by clicking the drop-down menu. - Available filters include: - Show all . - Show all invited but not logged in. - Show all who have logged in. ## 3\. Track your client's activity in the Client Portal by referring to the columns on the With Portal Users screen. - Column headings include: - Name - Username - Typically, username denotes the contact's email address. - Invite sent - This date is when you originally sent an invite email to the client. - Last login - Web Sessions - Canopy did not record any web sessions, or instances of Client Portal usage, until February 2018. Any web sessions prior to this will not be counted on this screen. # Sending Client Portal Invites Throughout Canopy Canopy is built to make inviting a contact to the Client Portal simple and non-disruptive to your workflow. You can invite a client to the Client Portal when creating a new contact, after a contact already exists, when sending a client survey, or when sending an eSign request. Keep in mind, certain processes are available only after the purchase of certain licenses. To get started, click the Plus (+) icon in the client portal box of the contact profile. ## 1\. In the Client Portal window, check the box in-line with the client’s email address. - To add an additional email address, click Add another person. - Type the email address of any additional recipients in the Enter the Email of a New Person textbox. - Click Add. - The Client Portal window will pop up as a prompt throughout various processes including, but not limited to, processes such as: - Sending Client Requests - Sending eSign Requests - Making Files Visible to Clients ## 2\. Entering your personal Canopy account information is the only required step in the First Login setup experience. This step applies to any license and involves creating a password for your Canopy account. To get started, click the link provided to you in your welcome email from Canopy. License/permissions: - ⬜ License: Any - ⬜ Permissions: Admin ## 1\. Enter your full Name in the fields provided. - Your Email address should be pre-populated ## 2\. Enter a Password. ## 3\. Confirm password in the following field. ## 4\. Click the Terms of Service checkbox to indicate you agree to Canopy's Terms of Service and Privacy Policies. ## 5\. Click Create account and continue. # Syncing Email and Calendar to Canopy Syncing your email account and online calendar is a crucial step in setting up your Canopy account. Admins can sync one (1) Google or Microsoft calendar to Canopy at a time. Google/Microsoft calendaring is mirrored in your Canopy calendar. Upon syncing, events created in your Google/Microsoft calendar will immediately be reflected. Calendaring permissions granted in your Google calendar will also be reflected in Canopy. Keep in mind, you will only see the email and calendar options if you have already completed Setting Up Your Canopy Account. To get started, return to the First Login set up experience. License/permissions: - ⬜ License: Any - ⬜ Permissions: Admin ## 1\. Click Add email account. - Click Skip setup to close out of the first login setup permanently. - The First Login setup will persist with each web session of Canopy until you either skip or complete it. - Your email may be pre-populated. Select the option that best describes your email provider in the pop up window. - If you don't see your email provider listed, click the Other Providers box. - Click the Provider drop-down menu. - If your email provider is not listed in that drop-down menu, scroll to the bottom of the list and click I don 't see my provider. - Please note: Yahoo accounts require additional authentication steps. For more information, refer to the Connecting a Yahoo email account article. ## 3\. If applicable, check the box in-line with each item you wish to sync with Canopy. - Calendar sync is only available for Gmail or Microsoft Exchange accounts. - Click Select. ## 4\. Enter your login information for your email account. - Your email will take some time to connect to Canopy. - Depending on the email provider you select, your input options may vary. - If you have selected I don 't see my provider, you will be prompted to enter your IMAP and SMTP information. ## 5\. Click Connect Account. # Entering your Company Information Adding your company information is an important step in the setup process that applies across all license types. This information will pre-populate in various places throughout Canopy. To get started, continue through the First Login process. License/permissions: - ⬜ License: Any - ⬜ Permissions: Admin ## 1\. Enter a Company name. - Click Skip setup to close out of the first login setup permanently. - The First Login setup will persist with each web session of Canopy until you either skip or complete it. ## 2\. If needed, type in your Firm Specialties. ## 3\. Enter all applicable fields with your company information. - Required fields will be marked with an asterisk (*). ## 4\. Two-Factor Authentication for team members is ON by default. - This feature is recommended to strengthen the security of Canopy accounts. ## 5\. Click Next. # Customizing your Client Communications Setting up your custom branding in Canopy enables clients to view the Client Portal, emails, and invoices completely customized to fit your brand. Admins in Canopy will be able to customize their client interactions. To get started, refer to the First Login setup experience. You will see the Custom Branding experience once you enter your company information. License/permissions: - ⬜ License: Any - ⬜ Permissions: Admin ## 1\. Enter your client portal Domain name. - If your domain is available, a green checkmark will display in the field. - When selecting a domain, be aware: - If you change your domain, your clients will be redirected from your previous domain to the new one for 30 days. - You will not be permitted to edit your domain during these 30 days. ## 2\. Click Upload image. Requirements for an Uploaded Logo Image --- - The only file types accepted are: - .jpg - .jpeg - .png - The maximum file size for a logo image is 500 KB. - If the image is smaller than 156px wide x 56px high , it will be stretched to fit those minimum dimensions. - If the image is larger than 320px wide x 64px high , your image will be scaled down to those maximum dimensions. - If possible, upload a larger image that can be scaled down for the best results. ## 3\. Select a color from the available options. ## 4\. Click Custom to further customize your color selection. - Click and drag the color selector along the gradient scale. - Alternatively, copy and paste a hex # in the Color Code field. ## 5\. If needed, Choose or upload an image to be featured on the Client Login Page. ## 6\. Click Submit and next. # Adding Team Members Adding your team members to Canopy will prompt an email welcoming them to the team and inviting them to set up their personal Canopy accounts. Enter the email address of each team member. - Separate each email with a comma. ## 2\. Click Add. ## 3\. Click Save and next. # Assigning Licenses and Permissions Once your team members have been invited, admins can assign specific licenses to each team member as well as customize permissions for accessing specific areas of Canopy. Dues and assessments are fees which are charged directly by the card brands (Visa, Master Card, Discover, etc.) on all credit & debit card transactions. These fees are non-negotiable and will be charged regardless of who you process with. Some payment processors will pass the dues and assessments down to the merchant and others will incorporate them into a higher blended rate (an example would be Stripe and PayPal). * * * # Where can I see the dues and assessments I am getting charged? Dues and assessment fees can be easily viewed within Canopy. To get started, click Billing on the global navigation bar. ## 1\. Choose Payments from the slide-in panel. ## 2\. Select the Deposits tab. ## 3\. Click on a relevant deposit. - The deposit will expand to show a breakdown of the fees charged for that batch of payments. * * * # Why does Canopy not include dues and assessments in the rate? Canopy's goal is to give our customers the lowest possible overall rate on their merchant transactions. Rather than charging an inflated flat-rate fee designed to overestimate the total fees, we chose to use a more precise fee schedule that charges only for the fees actually incurred by our users. By separating dues and assessment fees from the processing fee, we were able to negotiate for a competitively low processing fee rate of 2.75% + $0.30 per transaction. * * * # When are dues and assessments billed? Dues and assessments are typically provided to the payment processor once a month, however, not all card issuers bill at the same time. Dues and assessment fees are typically withdrawn from the undeposited amount in your merchant account before the money is deposited in your bank account. In order to pull a transcript in Canopy, you will need to have already filled out a Power of Attorney form. This article will outline the steps you can take to fill out and download or print this form in Canopy. # Creating a Power of Attorney Form In order to create a Power of Attorney form, you must first have created an engagement. For more information, refer to the Creating an Engagement article. To get started, click on Tasks in the global navigation bar. ## 1\. Choose Engagements from the slide-in menu. ## 2\. Select an engagement. ## 3\. In the left column, click Forms. ## 4\. Click Federal. ## 5\. Click Administrative. ## 6\. Click the 2848 form. ## 7\. Fill out the information in the fields provided on the screen. - All changes are saved onto the form automatically. - The 2848 form is separated into four sections: T axpayer Information, Representative(s), Acts Authorized, Specific Use, Acts, and POAs. - You can click through each section to fill out necessary information. ## 8\. Click View Tax Form. - This will give you a view of the tax form itself. - Click the Save to files icon to save the form to a contact's folder, the Download icon to download the form to your computer or the Print icon to print this form.

If you are a Canopy subscriber, be sure to attend your Implementation appointment with our team. This appointment will guide you through the contact import process and answer any questions. Free trial customers are welcome to export a .CSV file from their previously utilized software and then upload it to Canopy. Importing clients to canopy involves uploading a .CSV file, mapping headers from the .CSV file to attributes in Canopy, and then importing those to the system. A best practice suggestion is to separate your individual clients from businesses and import each separately. # Uploading your .CSV File In order to import your existing contacts into Canopy, you will need to export all of your contacts into a .CSV (Comma Separated Value) file. Please note that if you are using the Free version of Canopy , you will not be able to perform a bulk import of contacts. To start uploading a .CSV file to Canopy, navigate to the Contacts List in Canopy. License/permissions - ⬜ License: Any - ⬜ Permissions: Admin ## 1\. Click the options menu in the Contact List. ## 2\. Click Import Contacts. ## 3\. Select the applicable option from the Select previous software drop- down menu. - If none of the options fit, click Other. - With most softwares, you will need to export a form of Custom Report. - When compiling a custom report, select each column you wish to include. The Canopy Import Templates can help you understand what you will need to export. ## 4\. Select the type of contact list you plan to import. - It is important to separate Individual contacts from Businesses. - If you have both types of contacts, you will need to upload two .CSV files. ## 5\. Click Upload from computer. - Alternatively, you can drag and drop a file from your computer to the designated section in Canopy. ## 6\. Choose whether to map CSV attributes manually or with Canopy 's Template. # Mapping Headers to Attributes All headers from your .CSV file need to be mapped to attributes in Canopy or dismissed before your data can be imported to Canopy. To start this process, you will need to have uploaded a .CSV file according to the steps listed in the previous section. Once your .CSV file has been uploaded, you will see a pop up window prompting you to map your .CSV headers. Click the checkbox in line with the mapping template you would like to use. - If the listed template options do not match, check Map Manually. ## 2\. Click Map. ## 3\. The headers from your .CSV file will display across the screen. - These headers are meant to be for your information while you map headers to Canopy attributes. - The headers of your .CSV file will not import. ## 4\. Under Canopy Attributes , select the correct attribute from the drop- down menu that best fits the information listed in each column. - The headers listed above from your .CSV file can help guide what attribute to assign to each column. - The goal of this process is to match the header from your .CSV to the attribute from the drop-down. ## 5\. If needed, type in a search for the attribute you wish to select. - If you do not wish to import a specific column, select DO NOT IMPORT. - Scroll to the Custom fields section to view custom fields you have already added to Canopy. - Scroll to the left to continue assigning Canopy attributes to each column listed on your .CSV file. ## 6\. Click Validate and Import. - This option will only be available once every column has been either mapped or dismissed. - First and Last Name attributes must be mapped in order to Validate and Import. ## 7\. If needed, check the box to Save this mapping as an import template. ## 8\. Click Return to Contacts. - You will receive an email when the import is complete. # Correcting Import Errors If you received an error message when importing contacts to Canopy, you can easily fix the errors and reimport. Canopy users will have the option to temporarily opt-out of the new global navigation menu. On 15 June 2020, all users will be required to use the new global navigation menu. # Delaying Canopy's New UI ## 1\. Click the new feature icon located in the bottom-right corner of the screen. - A menu will pop up. ## 2\. Choose to use the old navigation bar in Canopy for one of the specified options. - Users can choose to use the old version of Canopy for three , seven , or fifteen days. - Please note: All users will be required to use the new navigation menu beginning on 15 June 2020. Your chosen opt-out length will not extend past 15 June 2020. ## 3\. Close the opt-out menu by clicking the X located in the top-right corner of the pop-out menu. # Returning to Canopy's New Navigation If users previously chose to opt out of the new global navigation menu, they can choose to return to the new global navigation at any time. ## 1\. Click on the new feature icon located in the bottom-right corner of Canopy. - A menu will pop out. ## 2\. Click Try it out in the pop-out menu. ## 3\. Close the opt-out menu by clicking the X located in the top-right corner of the pop-out menu.
